Shopify sales tax report by jurisdiction: the figures your return actually asks for

A state return wants gross, taxable and exempt sales per county and city, at each rate. Your orders carry every tax line already; the work is putting them in the rows the form uses.

A store owner wrote on G2 in 2018 that Shopify "would be great if it did the sales tax reporting as well" and called it a "hidden task for all online store owners." The task has not gone anywhere. Every order in your store carries its own tax lines, one per jurisdiction and rate, but a state or county return asks for them summed in a particular shape: gross sales, taxable sales, exempt sales and tax collected, per jurisdiction, per rate.

What the filing period usually looks like

The export comes out with one row per order and a column of tax that is the total of several lines. Getting back to the county rows means dividing tax by rate in a spreadsheet, merging the jurisdictions that Shopify named two ways, and hoping the exempt orders were tagged. That is about two hours each filing period, and the result is a number nobody can defend in an audit, because the consolidation happened by hand.

What the report shows

A sales tax by jurisdiction report for last month gives three tables, ready to type into the return:

  • by jurisdiction: each state, county, city and special district, with gross, taxable and exempt sales and the tax collected
  • by rate: the same figures grouped by the tax rate applied
  • exempt sales on their own, so the exemption line on the return has a source

Two rules keep it defensible. Tax collected is summed from the order's own tax lines, never worked back out from a rate. And duplicated jurisdiction titles are combined into one row, so a county does not appear twice under two spellings.

How Captain Miles does it

Say what you need in a sentence ("on the first of the month, last month's sales tax by county and rate for my return"), approve the plan it shows you, and the report arrives on the first of each month from the orders in your own store, counted the same way every time, with a note on how each number was produced. Your data is used for your store only and deleted within 30 days if you uninstall. The ready-made version is below.
